Job Summary: Responsible for overseeing the daily crewing operations, ensuring compliance with company policies, local and international regulations, and managing crew compensation and benefits. The role ensures timely and accurate payment of crew salaries and provides support for related administrative tasks.

Key Responsibilities:

  1. Payroll Management:
  • Coordinate and supervise salary calculations and payments for French crew.
  • Oversee salary data entry and wage policies, including retention and remuneration plans.
  • Monitor leave, legal compensation, and prepare annual performance bonuses for senior officers.
  • Manage quarterly dues and ensure legal compliance regarding taxes and social security.
  1. Crewing:
  • Coordinate with French authorities and labor unions on crewing matters and national legislation.
  • Promote the company as an employer through collaborations with maritime academies and industry associations.
  1. Support & Guidance:
  • Work closely with the Finance department for crew-related financial processes.
  • Advise and support management on special projects and new initiatives.
  • Supervise ship managers and manning agents to ensure efficient crew management.
  1. Administration:
  • Monitor global market conditions and generate competitive pay scales.
  • Prepare annual crew cost budgets and ensure effective cost control.
  • Oversee crew claims and retention KPIs.
  • Manage crew-related financial administration and cost monitoring.
  1. Legal Compliance:
  • Implement and ensure compliance with regulations regarding social security and withholding tax for various flag states.
  • Represent the company during collective bargaining agreement (CBA) negotiations.
  1. GDPR Compliance:
  • Act as Key Risk Officer for seafarer compliance with privacy and data protection regulations.

Authority:

  • Final approval on crew composition, crew operations, and financial administration for operated vessels.
  • Legal authority to sign crew contracts, CBAs, and manning agent agreements.
  • Approval of salary payments and crew-related invoices.

Criteria:

  1. Scope of Responsibilities:
  • Ensure timely crew payments and legal compliance.
  • Maintain accurate payroll software and up-to-date crew information.
  • Foster a positive, skilled, and collaborative team environment.
  • Ensure all crew-related operations meet national and international regulations.
  1. Qualifications & Experience:
  • Bachelor’s degree or equivalent experience.
  • Minimum 2 years of HR or payroll experience.
  • In-depth knowledge of employment laws, payroll systems, and relevant software (e.g., Excel).
  1. Problem-Solving:
  • Identify and correct payroll discrepancies.
  • Handle discussions with unions and salary-related issues autonomously.
  • Address complex data analysis and operational challenges.
  1. Communication:
  • Internal: Regular communication with the team to support operations and projects.
  • External: Coordinate with ship managers, unions, authorities, and auditors.
