Le poste

We are looking for an extremely efficient, energetic, and highly professional Executive Assistant & Office Manager to support our senior leadership team in all administrative tasks and travel management, but also support the running of our Paris office. We would expect you to work seamlessly with colleagues throughout our global offices.

Tasks & Responsibilities

Executive Assistant
 Assistant to Partner
 Diary management across various time zones and administrative support to Partner/Director(s)
 Organising internal and external meetings
 Booking complex travel arrangements and visa requirements
 Processing expenses
 Updating business contacts (via CRM software) in order to track sales activities and maintain contact details
 Cover and support for the wider administrative team as and when required
 Help with general ad hoc requests

Office Manager
 Liaise with building management and act as primary contact for external providers and vendors to ensure upkeep of the office
 Oversee the day-to-day activities of the office, e.g. welcoming guests, answering phone calls
 Keeping management informed of performance and progress of office management tasks
 Manage all aspects of the office's space/infrastructure planning (moves, adds, and changes) and provide answers, resources, and solutions as requested
 Being responsible for and communicate office policies / support creating and circulating new policies, incl. Health & Safety, first aider and fire protection
 Assist the wider operations team – if and when required – in tasks such as, IT support, visa applications, invoices, maintaining filing system or HR-related matters

Profil recherché

 At least five years' experience in an Executive Assistant/ Office Manager role in an international environment – preferably within the Professional Services arena
 Excellent communicator (both oral and written) who can liaise confidently and with maturity
 Ability to use initiative and react proactively
 Ability to prioritize multiple tasks seamlessly
 Meticulous organiser with high attention to detail
 Professional outlook and willingness to work in fast moving/changing environment
 Reliable with ability to deliver results under pressure
 Enthusiastic team player with a ‘can do' attitude
 Strong MS office skills
 Native in French and strong proficiency / fluency in English (50% of day-to-day work is in English)
